The Embassy is searching for a positive-minded, proactive, and goal-oriented colleague for their Administrative Department. 

Administrative Employee

The Embassy is searching for a positive-minded, proactive, and goal-oriented colleague for their Administrative Department. The Administrative Team consists of three employees, who report to the Deputy Head of Mission.

The main tasks of the Administrative Department pertain to finance, human resources, and facility management of the Embassy and the Danish representations in Germany. As a part of the team, your tasks will mainly concern financial administration.

We expect you to be flexible and ready to contribute, according to your skill set, to the department’s overall range of tasks, even when these may fall outside your core competencies. This will become especially relevant in case of leave within the Administrative Department.

Main tasks:

  • Budgeting and budget controlling.
  • Bookkeeping in cooperation with the Financial Service Team of the Ministry of Foreign Affairs of Denmark.
  • Communication with the Finance Office of the Danish Foreign Ministry.
  • Payroll accounting for local staff at the Danish representations in Berlin, Flensburg, Hamburg, and Munich. Maintenance of personnel data in Lexware.
  • Support of posted staff in the transfer process to Berlin, i.e. questions regarding housing and tenancy, schooling, and childcare.
  • Assistance in the formulation of contracts for the locally employed staff.

Required qualifications:

  • Relevant education in and/or experience with bookkeeping, controlling, and budgeting.
  • Methodical and systematic approach to professional challenges.
  • Strong sense of responsibility and loyalty to management, posted staff, as well as the locally employed staff of the Embassy.
  • Flexibility and readiness to adapt to the changing needs of the Embassy.
  • Ability to complete work thoroughly under time pressure.
  • Language requirements:
    • Excellent command of the German language, both written and spoken.
    • Good English skills.
    • Knowledge of the Danish language are a plus, but not strictly required.

Conditions of Employment:

  • We are offering a full-time position on a two-year contract with the possibility of extension.
  • Employment is based on the rules for employment for local staff at the Danish representations in Germany. These, in turn, are based on the relevant and binding German labour market laws.
  • Your work week consists of 37 hours, including paid lunch breaks on days with at least six work hours. There is a certain degree of flexibility regarding the arrangement of the weekly working hours.
  • You will receive five weeks of paid leave per year.
  • Salary is determined based on your qualifications and work experience.
